Microsoft Outlook Express is the Email and Usenet News reader included with the Internet Explorer v4.x package of software from Microsoft. The following assumes that Outlook Express (and Internet Explorer v4.x) have been installed correctly. This document was written using the v4.72 of Outlook Express, and, unless noted, will be applicable to all version of Outlook Express as released in the Internet Explorer v4.x package. For more information about Outlook Express than is provided here, see its 'Help' pull-down menu.

Configuring Outlook Express For Email

Two manners of email configuration are given below: creating a new email configuration (used when you first set up your email account) and modifying an existing email configuration.

I. Creating A New Email Configuration

  1. Select Tools >> Accounts
  2. Select Add >> Mail
  3. Enter:
    Display Name: <your name>.
    Hit Next.
  4. Enter:
    Email address: <your login>@greenapple.com.
    Hit Next.
  5. Enter:
       My incoming mail server is a [POP3] server
       Incoming mail (POP3 or IMAP) server: mail.greenapple.com
       Outgoing mail (SMTP) server: mail.greenapple.com
    Hit Next.
  6. Enter:
       [x] Log on using
       POP account name: <your login>
       Password: <your password>
    Hit Next.
  7. Enter:
    Internet mail account name: [use the name suggested]. Hit Next.
  8. In Connection Type window, select:
       [x] Connect using my phone line
    Hit Next.
  9. In Dialup Connection window, select:
       [x] Use an existing dialup connection
    Hit Next.
  10. Select Green Apple for the Dialup Networking connection.
    Hit Next.
  11. Hit Finish.
  12. Hit Close to close the Accounts window.

II. Modifying An Existing Email Configuration

  1. Select Tools >> Accounts
  2. Highlight the email account you want to modify and hit the Properties button.
  3. Under General tab, enter:
       Mail Account: mail.greenapple.com
       User Information
         Name: <your name>
         Organization: <your organization, if applicable>
         Email address: <your login>@greenapple.com
         Reply address: [leave blank]
         [x] Include this account when doing a full Send and Receive
  4. Under Servers tab, enter:
       Server information
         Outgoing mail (SMTP): mail.greenapple.com
         Incoming mail (POP3): mail.greenapple.com
         My incoming mail server is a [POP3] server
         Incoming Mail Server
           [x] Log on using
           Account name: <your login>
           Password: <your password>
           [ ] Log on using Secure Password Authentication
         Outgoing Mail Server
           [ ] My server requires authentication
  5. Under Connection tab, enter:
       Connection
         [ ] Connect using my local area network (LAN)
         [x] Connect using my phone line
         [ ] Connect using Internet Explorer or a 3rd party dialer
       Modem
         Use the following Dialup Networking connection:
         [Green Apple]
    Hit OK.
  6. Hit Close to close the Accounts window.

Configuring Outlook Express For Usenet News

Two manners of Usenet News configuration are given below: creating a new Usenet News configuration (used when you first set up your account) and modifying an existing configuration.

  1. Select Tools >> Accounts
  2. Select Add >> News
  3. Enter:
       Display Name: <your name>.
    Hit Next.
  4. Enter:
       Email address: <your login>@greenapple.com.

       News (NNTP) Server: news.greenapple.com
       [ ] My news server requires me to log on
    Hit Next.
  6. Enter:
       Internet news account name: [use the name suggested]
    Hit Next.
  7. In Connection Type window, select:
       [x] Connect using my phone line
    Hit Next.
  8. Select Green Apple for the Dialup Networking connection.
    Hit Next.
  9. Hit Finish.
  10. Hit Close to close the Accounts window.

II. Modifying An Existing Usenet News Configuration

  1. Select Tools >> Accounts
  2. Highlight the news account you want to modify and hit Properties button.
  3. Under General tab, enter:
       News Account: news.greenapple.com
       User Information
         Name: <your name>
         Organization: <your organization, if applicable>
         Email address: <your login>@greenapple.com
         Reply address: [leave blank]
       [ ] Include this account when checking for new messages
  4. Under Servers tab, enter:
       Server information
         Server name: news.greenapple.com
  5. Under Connection tab, enter
       Connection
         [ ] Connect using my local area network (LAN)
         [x] Connect using my phone line
         [ ] Connect using Internet Explorer or a 3rd party dialer
       Modem
         Use the following Dialup Networking connection:
       [Green Apple]
    Hit OK.
  6. Hit Close to close the Accounts window.

Using Outlook Express For Email

Outlook Express is divided into six regions. They are from top to bottom: a row of pull-down menus, a toolbar, the Folder List, the Preview Pane (to the right of the Folder List), the Message Display (to the right of the Folder List and below the Preview Pane), and the Status Bar. You might have to increase the size of the window or particular regions within the window to see all areas clearly.

The Folder List keeps the list of folders used with email as well as folders used by newsgroups. By default there are four folders associated with email: Inbox, email received; Outbox, email waiting to be sent; Sent Items, copies of messages that have been sent; Deleted Items, messages that have been deleted from other folders are kept here until this folder is emptied.

To read an email, chose a folder (e.g., Inbox). The messages in that folder will appear in the Preview Pane on right. Single click on a message in that region, and the message will then appear below the Preview Pane in the Message Display.

The functionality of the buttons along toolbar may be found as selections underneath pull-down menus.

Pull-Down Menu Items

Across the top of Internet Mail is a row of pull-down menus starting with 'File' on the left and ending with 'Help' on the right. Below are descriptions of the more important menu selections:

File  
  Open Open for reading the current message. The current message is defined as the message highlighted in the Preview Pane.
  Save As Save current message to hard drive.
  Folder Folder management: create, delete, compact.
  Print Print out current message.
  Connect If you were working offline, this will start the Internet connection.
  Hang up Disconnect from the Internet, if connected.
  Work Offline Use Outlook Express while not being connected to the Internet.
  Exit Exit Outlook Express.
   
Edit  
  Delete Message Delete the current message (sent to Deleted Items folder).
   
View  
  Sort By Sort the mail list by sort type.
  Toolbar Show/Hide toolbar.
  Status Bar Show/Hide Status Bar.
  Layout Configure the display of Outlook Express.
   
Tools  
  Send and Receive Send messages in Outbox folder. Check server for any new messages.
  Send Send messages in Outbox folder (but do not do a 'Receive').
  Download All Download any email from server.
  Address Book Create, modify and delete nicknames to for commonly used addresses.
  Newsgroups Download/display list of Usenet newsgroups.
  Accounts Create, modify and delete email, news and directory services accounts.
  Options Display, sending and receiving and other options associated with the behavior of Outlook Express.
   
Compose  
  New Message Open the email composer to compose a message.
  Reply To Author Respond to an email.
  Reply To All Respond to the author of an email and send a copy of response to everyone who was on the 'Cc' (Carbon copy) line of the original message.
  Forward Send to others current message.

Composing And Sending An Email

To compose and send an email, you must bring up the email composer. To do this select Compose >> New Message or click on the 'Compose Message' icon on the toolbar.

The email composer is divided into four regions. From top to bottom they are pull-down menus, toolbar, message header, message text. As all other toolbars in IE, the buttons on it are also available in the pull-down menus.

As an example, lets suppose we wanted to send a simple hello to our friend Joe who has an email address of joe@joes.com. We also want to send the same hello to our friends Betty and Sal having email addresses of betty@bettys.com and sal@joes.com, respectively. However, we do not want Joe or Betty to know that Sal has gotten a copy of the email as well (called a Blind Carbon Copy). The message header and message text of the composer window would look like:

To: joe@joes.com
Cc: betty@bettys.com
Bcc: sal@joes.com
Subject: Hello there

-----------------------------------------------------------

Joe,

Hello there. Hope things are well for you and Betty and Sal. I have sent Betty a copy of this email.

All the best.

To send this email, we would then select File >> Send Message Using or hit the 'Send' icon on the toolbar. This does not send out the email, but puts it into your Outbox folder. To send it out onto the Internet, from the main window of Outlook Express select Tools >> Send and Receive or click the 'Send and Receive' icon on the toolbar.

There are other functions which can be done through the email composer such as sending files text and non-text files, creating an address book and more. For these features and others, please read through the help information that is found under the 'Help' pull-down menu.

Using Outlook Express For Usenet News

Usenet news is a made up of a large set of discussion groups. Although the number of groups varies in time, as new groups are added and old ones removed, the total number is well in the range of 35,000. Each group is called a newsgroup. The topics which are discussed within a particular newsgroup will be loosely governed by those implicit in the newsgroup name; for example, a newsgroup called 'soc.history.ancient' will have discussions going on within it that are concerned with aspects of ancient history. Discussions take the form of articles and responses to articles. On any given day, a particular newsgroup might have zero to a couple thousand of articles posted to it.

The following description is intended to provide an overview of the news reading process, breaking it down into a few simple steps and looking at the means to perform those steps using Outlook Express. You will want to connect to the Internet before going further on with this document.

In general, when working with Usenet News you will:

  1. Subscribe to a list of newsgroups that you intend to follow with some regularity.
  2. Read the articles available within newsgroups from your subscribed newsgroup list; post articles to those groups as appropriate.
  3. Periodically unsubscribe to a group or add another group to your subscribed list.

As the total number of newsgroups is so large and the volume of articles so heavy, you will need to restrict the number of newsgroups you actively follow. Reducing the number of newsgroups you follow is done through subscribing to a subset of the total number of newsgroups available. To subscribe to newsgroups:

  1. Highlight the news-server (e.g., news.greenapple.com) you want to connect to from the Folder List and hit the 'News groups' button. If this is your first time reading news, Outlook Express will connect to the server and download the full list of newsgroups. Downloading the full list will take some time.
  2. From the full list of newsgroups, highlight a particular group you are interested in and hit the 'Subscribe' button. When you are done selecting groups, hit 'OK', and you will be returned back to the main window of Outlook Express.

To read articles within a particular newsgroup, from the Folder List change the '+' to '-' which appears before the news-server's name. This will display the list of groups subscribed on that server. Click on the group you are interested in reading. The list of articles available will then appear in the Preview Pane. To read a specific article that is listed in the Preview Pane, click on it, and the message will appear in the Message Display.

Posting to a newsgroups works exactly the same as sending an email, hit the 'Compose Message' button or select Compose >> New Message, this will invoke the Composer from which you may compose your message. When finished, hit the 'Post' button.

In time, you might decide to no longer read a newsgroups and will want to remove it from your list of subscribed groups. To do this, highlight the group you no longer wish to subscribe to and select Tools >> Unsubscribe from this newsgroup.
